Privacy policy

Your account. Your sign-in email, business details and subscription. For these, BJ ELLIS ENTERPRISES LTD. is the data controller.

Your customers. The names, emails, phone numbers and addresses you enter for the people you quote and invoice. You decide what goes in and what it's used for, so for these you are the controller and we process them on your behalf. We don't contact your customers except to send the quotes, invoices and payment reminders you ask us to.

• Your sign-in email address.
• Your business profile: business name, trade, phone, contact email, address, logo, bank details for your invoices, and — if you add them — your VAT number, UTR and company number.
• Your work records: clients, quotes, invoices, payments, expenses, receipt photos and saved rates.
• A copy of each email we send for you (who it went to, the subject and the content), so you can see what your customer received.
• When a customer accepts a quote online: the name they type and the IP address it came from, as a record of the acceptance.
• Short-lived records of sign-in attempts (email and IP address), used to stop people guessing codes.
• If you subscribe: your plan, when it renews, and Apple's transaction reference. Payment is handled entirely by Apple — we never see your card details.

The app only uses your camera or photo library when you choose to attach a receipt or a logo.

• No advertising, and no advertising or analytics trackers.
• We don't sell your data or your customers' data.
• We don't use your records for anything but running your account.

Mostly because we can't provide the service without it — that is the contract between us. Sign-in and abuse records are kept because we have a legitimate interest in keeping accounts secure.

We use a small number of providers to run QuoteSorted:

• Vercel — hosts the service and stores uploaded files.
• Neon — hosts the database.
• Resend — delivers the emails we send for you.
• Apple — takes subscription payments.

Some of these providers process data outside the UK. Where they do, it is protected by the safeguards UK data protection law requires.

For as long as your account is open. If you delete your account, your data is removed from our live systems straight away, including your receipt photos and logo. Emails already delivered to your customers can't be recalled.

HMRC expects you to keep business records for at least five years after the 31 January filing deadline for the tax year they relate to. That's your record-keeping duty rather than ours, so download what you need before deleting your account.

You can ask for a copy of your data, have it corrected, restricted or deleted, object to how it's used, or take it elsewhere. You can delete your account yourself in the app, under Settings, or email privacy@quotesorted.app and we'll do it for you.

If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office at ico.org.uk.

QuoteSorted is for businesses and isn't meant for anyone under 18.
